How to Choose the Right CRM for Your AP Business: A Decision Guide for Owners and IT Managers

Imagine your managing director has watched two CRM demos this month. Your sales head likes the one with cleaner screens. You, as the IT manager, are asking something else: where will our customer data live, and can we take it out later?

Both questions matter. Yet many CRM decisions stall here because nobody agrees on how to compare the options. As a result, the team keeps using notebooks and WhatsApp for another quarter.

This guide gives owners, sales heads and IT managers one practical method to choose the right CRM. Once the business requirements are clear, use the same scorecard for every CRM you shortlist. Score each CRM from 1 to 5 on the points below. Give double weight to the two points that hurt your business most today.

1. Workflow fit

Can the CRM follow your real sales or support steps without workarounds? Ask every vendor to demo your process with your sample data, not their default demo.

2. Deployment and data control

With cloud CRM, the vendor hosts and patches the system. With on-premises or self-hosted CRM, your team takes on more of that work.

Cloud is generally quicker to start, while self-hosting gives your IT team more control if it has the time and resources to manage the system.

3. Tally and accounts link

If your accounts run on TallyPrime, check how ledgers and closing balances reach the CRM. Both Vtiger and Enjay offer a Tally link, so ask each vendor to demonstrate it using a copy of your data.

4. Licence model and cost per user

Do not compare CRMs using only the headline subscription price. Calculate the cost for your actual user count and understand which type of licence each employee needs.

Do your representatives visit clients across several towns? Test the phone app on a real route rather than relying only on a desktop demonstration.

Software alone does not fix a process. Ask who will configure the workflows, train your staff and help when an important automation or integration breaks.

Vtiger CRM: Where It Fits

Vtiger CRM is a general-purpose CRM platform. According to Vtiger’s pricing page, its platform covers five apps: Sales, Marketing, Help Desk, Projects and Inventory.

This makes it possible for multiple teams to work from one CRM environment instead of maintaining separate systems for sales, support and related processes.

What stands out

  • A free way to start. The One Pilot plan is free for up to 10 users and 3,000 records. Paid plans also come with a 15-day free trial.

  • Hosting choice. Vtiger offers cloud plans and also has an open-source edition that can be hosted independently.
  • Data regions. Vtiger says its servers sit in several regions, including India. Your region depends on where you are when you start the trial.
  • A Tally link. Vtiger lists a two-way Tally integration on its website.

Enjay CRM (Sanchay CRM): Where It Fits

Sanchay CRM is built for mutual fund distributors, independent financial advisors and wealth managers.

What stands out

  • Industry vocabulary. Client-and-family views, portfolio review reminders, SIP tracking and WhatsApp updates are designed around financial advisory workflows.
  • Tally-linked dues. Balances from TallyPrime can appear on the client record, allowing relationship managers to see dues before a call.
  • Mobile visit logging. The Enjay mobile app records time and location when a representative logs a visit.
  • Flexible setup. AtTally’s product page describes cloud or on-premises deployment, with plans that start from small two-user teams.

A quick fit guide

These pointers come from each product’s documented strengths. Treat them as a starting shortlist, not a final verdict.

  • IT or service firm with a busy support queue: start with Vtiger.
  • Mutual fund distributor, IFA or wealth manager: shortlist Sanchay CRM.
  • Field-heavy sales team on TallyPrime: pilot both and test the mobile app and Tally link using real data.
  • Hospital or clinic: neither is positioned specifically for this use case. Look at an industry system such as Shivam HMIS instead.

What a CRM Really Costs Per User

CRM pricing can vary depending on the number of users, the type of licence and any implementation or onboarding charges. The figures below use the published prices already identified for the respective CRM providers.

The important point is to compare subscription costs separately from implementation costs. Otherwise, you may end up comparing a basic subscription from one CRM with a subscription-plus-implementation package from another.

Vtiger CRM

Vtiger One Professional is listed at ₹2,100 per user per month for Indian customers when billed annually. Vtiger also offers different user types, including Standard Users and Single App Users. Standard Users have full access to all five Vtiger apps, while Single App Users have full access to one app and view-only access to the others.

For a 12-person team using the published One Professional Standard User price, the subscription cost would be:

Vtiger’s public pricing page also lists a Single App User for One Professional, but the published price is shown in US dollars rather than as a separate India-specific rupee price. Because of that, this calculation does not convert the dollar amount into rupees or assume an exchange rate.

Vtiger states that local taxes are charged in addition to the published prices. Before purchasing, confirm the current price, applicable taxes and the licence type required for each user.

Sanchay CRM

Sanchay CRM publishes a price of ₹12,000 per user per year, billed annually, with a minimum of two users. The official pricing page also lists ₹35,000+ for implementation and onboarding for the minimum two-user package.

Using only the published per-user subscription price, a 12-user team would have the following subscription cost:

The ₹12,000 figure is an annual per-user subscription price, so the monthly figure above is shown only as a monthly equivalent. Sanchay also publishes ₹35,000+ for implementation and onboarding on its minimum two-user package.

The company does not publish a separate implementation price for a 12-user team on the pricing page, so that amount should not be added to the 12-user subscription as though it were a confirmed 12-user implementation cost.

For a two-user Sanchay CRM package, the published pricing is ₹24,000 for the annual subscription plus ₹35,000+ for implementation and onboarding, giving a published starting total of ₹59,000.

If you need pricing for a larger team or additional implementation work, ask Enjay for a written quote. The public Sanchay pricing information does not provide separate prices for customisation, additional training or other services, so those costs should not be estimated without a quote.

The IT Manager’s Due-Diligence Checklist

Price and features are only part of the decision. Before signing a CRM contract, send these questions to every vendor in writing and compare the answers side by side.

  1. Where will our data be hosted? Ask for the region in writing. Vtiger’s Security Center lists India among its server locations.
  2. How do backups and recovery work? Vtiger states that it backs up every customer instance daily and can restore service within 8 hours after a hardware failure. Ask Enjay for its equivalent terms.
  3. Who can see what? Ask about role-based access, two-factor login and activity logs.
  4. How does the vendor support DPDP compliance? India notified the DPDP Rules in November 2025, and most obligations phase in over 18 months, according to the Government of India (PIB). In most CRM setups, your business is the data fiduciary and the vendor is a data processor. Ask about consent records, deletion requests and breach reporting, and take legal advice where required.
  5. How does the Tally connector work? Ask whether it runs on a server, on a desktop or with Tally on cloud. Also ask who supports it after a Tally update.
  6. How do we leave? Confirm that you can export all records, notes and attachments in a usable format.

A 30-Day Pilot Before You Commit

A demo shows the best case. A pilot shows the everyday case. So run one on real data before you sign anything.

  1. Week 1: Set up. Pick five to eight users across sales, support and accounts. Then load 100 to 200 cleaned, real records.
  2. Week 2: Run one process end to end. For example, follow a lead from enquiry to follow-up, or a ticket from email to closure. If the Tally link matters, test it on a copy of your data.
  3. Week 3: Test in the field. Use the phone app on real routes and review the reports your managers will actually read.
  4. Week 4: Score and decide. Fill in the scorecard, compare the written quotes and make the decision based on the results of the pilot.

Measure the pilot with three simple checks

  • Does every new lead have an owner and a follow-up date?
  • Do tickets get answered inside the target time?
  • Can a sales rep see a client’s dues before the call?
